Annual Meeting Online Platform and Mobile App to Open by April 7

The 2023 AERA Annual Meeting online platform and Mobile App (AERA2023) will open by April 7. When these products open, registered attendees will be able to access the platform and download the app (from the Apple App Store or Google Play Store), log in, set up a profile, and become familiar with the platform.

Whether attendees are participating in the place-based component of the Annual Meeting in Chicago, April 13–16, or virtually, May 4–5, the platform and mobile app will serve registrants for both. Both place-based and streamed or virtual sessions are fully integrated into the schedule.

Annual Meeting participants are strongly encouraged to set up their profile in advance of the conference to avoid technical issues. The vendor for this year’s platform is vFairs, a leading virtual and hybrid events innovator.

Annual Meeting presenters, chairs, exhibitors, and other registered attendees will receive an email from info@vfairs.com (with the sender name "AERA Annual Meeting") with a personalized link that will allow access to the platform. The link will be sent to the email address that participants used when registering for the conference. Note that this personalized link provides quick access to the platform.

If a registrant cannot locate the email with their personalized link, they should first check their spam folder; if further follow-up is then needed, they should email aera2023@getvfairs.io. They will then receive a personalized link.

Using the app is a similar process. Registrants will receive detailed instructions on downloading and using the app. Essentially registrants will enter their email and receive back a code that they will enter to gain access to the app.

“We are excited to provide meeting participants with a secure and interactive online community for the conference,” said AERA Executive Director Felice J. Levine. “This dynamic, user-friendly platform and app will foster engagement and collaboration before, during, and after the placed-based and virtual events.”

After signing in to the platform or mobile app, attendees will be able to:

  • Complete their profile to participate in the online community
  • Build a personalized agenda of sessions to attend
  • Connect with fellow attendees by chat
  • Pre-schedule private, one-on-one virtual meetings
  • Engage with meeting sponsors and exhibitors

The online platform will host the schedule and include information relevant to all the place-based and virtual components of the meeting. (All virtual sessions delivered through the platform will be Zoom sessions, to maximize familiarity to presenters and attendees.) The platform will be accessible to all attendees—whether they have registered for the place-based component of the meeting in Chicago or the virtual component online. Whether an attendee is place-based or virtual-only, the online platform can be used to connect with others in any physical location.  

Attendees for the place-based meeting in Chicago are automatically registered for and able to access and attend the virtual component of the meeting (May 4-5) on the platform at no extra charge.

Those registered for only the virtual component will have full access to the platform and the app in addition to access to the two-day virtual meeting on May 4–5. They will be able to contact and use all of the networking tools available to Chicago registrants, to have access to the AERA i-Presentation Gallery, and to view a selected number of livestreamed place-based Chicago sessions on the platform, including the Opening Plenary, the Presidential Address, major lectures, and a number of Presidential sessions and AERA-wide special sessions. Virtual meeting attendees will also have access to the recordings of these select sessions, as well as to recordings of all virtual sessions in the online platform’s video library.
