Know Before You Go

We are excited to welcome you to Denver for the 2025 AERA Annual Meeting, April 23-27. The Know Before You Go will help you plan ahead and to ensure the meeting is a rewarding experience.

Please note the following items:

Download the 2025 AERA Annual Meeting App to gain instant access to the online program, get the QR code to print your badge onsite, and build your personal schedule. Search AERA 2025 in the Apple App store or Google Play Store. The app will serve as the digital searchable program for the Annual Meeting. There is also a web version of the app.

Pick Up Your Badge Onsite
On April 18 and, again, on April 21, you will receive an email from noreply@getvfairs.com with your customized QR code. At the registration area in Denver, scan your QR code at a self-serve kiosk and your badge will print out. Insert your badge into a provided lanyard and you will be set. You can also find the QR code in the meeting app, or you can type your name into the provided touchpad at the kiosks. (Using the QR code will make the process faster.)

Registration location:
Colorado Convention Center, Exhibit Hall F
700 14th Street, Denver, CO (if you see a big blue bear, you are in the right location!)
Enter the Convention Center, take the escalator up, and follow the signs to registration.

  • Tuesday, April 22, 7:00 am – 7:00 pm MT
  • Wednesday, April 23, 7:00 am – 7:00 pm MT

Wear Your Badge at the Annual Meeting
You must wear your badge to access Annual Meeting sessions, events, and the exhibit hall. No exceptions will be granted. Please note that a replacement fee of $5 will be charged for lost badges. Badge reprint is available at the Registration Desk at the Colorado Convention Center in Exhibit Hall F.

Take Care and Be Healthy and Safe – Emergency Phone Numbers
AERA’s top priority is the health, safety, and wellbeing of all attendees at the Annual Meeting, as well as those who serve and support attendees at the conference. AERA was advised that, much faster than using 911, the phone numbers below are the quickest way of getting help if you or others need it.

  • Colorado Convention Center – (303) 228-8030 (or 200 from any house phone)
  • Hilton Denver City Center – (303) 297-1300 (or 6699 from any house phone)
  • Hyatt Regency Denver – (303) 486-4600 (or 55 from any house phone)

Due to the high altitude in Denver, please be sure to stay hydrated throughout your stay to minimize discomfort from altitude sickness.

Review the Annual Meeting Conduct Guidelines to Promote an Inclusive and Welcoming Environment
AERA is committed to providing a safe, inclusive, welcoming, and productive environment for all AERA Meetings and Events. AERA expects that activities held under its auspices promote the full engagement and belonging of all attendees, and are free of harassment, unwelcoming or exclusionary conduct, and discriminatory actions or innuendo. We also expect those speaking at or leading such activities or those participating in them to value and support a diverse, inclusive community. Review meeting “do’s” and “don’ts” and learn how to report unwelcoming behavior on the AERA website and in the AERA 2025 app under “Policies and Support.” If you have a concern about unwelcoming behavior, you can make a report to the Executive Director at ethics@aera.net or call (202) 232-3222.

AERA Annual Meeting Ombuds Program
AERA provides all persons participating in or attending the AERA Annual Meeting with Ombuds support that is independent of AERA for those seeking to consider a matter and potentially learn about options addressed to their concerns. To contact the AERA Meeting Ombuds, email aeraombuds@gmail.com or call (202) 505-3356.

Know About Accessibility Best Practices and Resources

Presenters, chairs, and attendees should follow best practices to ensure that Annual Meeting sessions and presentations are accessible for those with disabilities. Embrace Free Speech that Is Not Disruptive
As a scholarly society, AERA encourages open discussion and scholarly inquiry to advance knowledge about education and learning and thereby serve the public good. We respect and support the right to peacefully assemble and to engage in freedom of speech and open inquiry in a non-disruptive manner at the Annual Meeting. Our goal during our time together at the Annual Meeting is to provide a safe forum for attendees to share innovative research, engage in substantive exchange, and foster professional relationships. We respectfully ask all participants to use their voices in a manner that supports rather than disrupts these research aims and purposes.
