Participants Unable to Attend Because of Unforeseen Events in the U.S.

AERA understands that due to recent events in the United States, some participants are no longer able to attend the 2025 AERA Annual Meeting in Denver on April 23-27. This includes individuals who lost jobs or research funding due to Trump administration actions and those internationally and nationally concerned about traveling to or within the U.S. We recognize that these are difficult decisions and deeply appreciate the circumstances that directly impacted individuals are facing.

To the extent possible, we want these individuals to still be part of the conference.  

  • In light of these unique and challenging circumstances, AERA will continue to affirm that the work of these scholars was officially accepted for the 2025 Annual Meeting and that their absence is due to events beyond their control.

To help ensure participants’ scholarship is accessible and recognized:

  • We strongly encourage authors of accepted papers or commentary papers to opt into the AERA Online Paper Repository. When the Repository opens approximately two months after the Annual Meeting, their work will be accessible and receive a unique digital object identifier (DOI). They can opt in through their All-Academic account.
     
  • All first-listed authors of accepted papers in a poster session, paper session, roundtable, or structured poster session, received an email invitation to create their presentations for display in the AERA i-Presentation Gallery. They and their co-authors (if applicable) are encouraged to take advantage of this opportunity. Once created and released (called “published”), these presentations will be available in the 2025 Gallery to all Annual Meeting registrants as soon as April 22, 2025, or upon creation and release.

    Creating a presentation is a user friendly, easy process where presentations become available with information on the session where they were to be shared. Also, all i-Presentations receive a DOI when they become widely accessible approximately two months after the Annual Meeting.  
     
  • If a presenter’s session is still scheduled to occur, they may reach out to the session chair to explore virtual participation, such as joining via Zoom using the chair’s laptop. While AERA is not supporting a formal hybrid meeting, such arrangements are technically possible. Affected scholars may also coordinate with the chair to submit a pre-recorded presentation and potentially join live for the whole session or discussion or Q&A portion.

We recognize these options are not equivalent to the full in-person experience, but we hope they provide meaningful alternatives for impacted scholars to share their work during this challenging time.

Due to our proximity to the meeting and the significant financial losses already incurred, we regret that we cannot provide registrant refunds or AERA-facilitated hybrid options.

The well-being of our scholarly community is paramount to AERA. We stand with those affected by recent events in the U.S. and the decisions they have had to make. Today’s challenges have major implications, and we encourage those in the education research field to continue their involvement in AERA. Our strength as a community lies in our shared commitment to scholarship of excellence and each other.
