Know Before You Go

We are here to help you plan ahead to ensure the placed-based component of the 2023 AERA Annual Meeting in Chicago, April 13-16, is professionally rewarding for you. Please carefully review and take action on the following critical attendee items:

  1. Register for the Annual Meeting
    If you have not done so already, be sure to register now and avoid the rush. You must be registered to attend the meeting before you can attend sessions in any of the seven headquarter hotels.

    Onsite registration is available at the Registration Desk in the Sheraton Grand Chicago Riverwalk in the Riverwalk Ballroom, 1st Floor. A satellite Registration Desk can be found at the Hyatt Regency Chicago in the Plaza Ballroom, Lobby Level of the East Tower. Registration hours:

    Wednesday, April 12, 2:00 pm - 7:00 pm CT
    Thursday, April 13, 7:00 am - 7:00 pm CT
    Friday, April 14, 7:00 am - 7:00 pm CT
    Saturday, April 15, 7:00 am - 7:00 pm CT
    Sunday, April 16, 7:00 am - 6:00 pm CT

    If you have already registered, check your email for badge pick up instructions. The email was sent on April 11 from AERA Registration. It includes a QR code that you will need to present at one of the Registration kiosks to pick up your badge.
     
  2. Wear Your Badge at the Annual Meeting
    You must wear your badge to access Annual Meeting sessions, events, and the exhibit hall. No exceptions will be granted. Please note that a replacement fee of $5 will be charged for lost badges. Badge reprint is available at the Registration Desk at the Sheraton and the Hyatt.
     
  3. Get Your Digital Health Pass from SafeAccess
    Register your vaccination status with SafeAccess before traveling to Chicago to receive your Digital Health Pass. As part of the entry requirements for the 2023 AERA Annual Meeting, all participants, except those with a medical exemption or religious attestation, must have up-to-date vaccination and at least one booster (if eligible). The AERA vaccination webpage has full details. If you have not completed the verification process managed by SafeAccess prior to arriving in Chicago, please be sure to bring your vaccination card (print or digital) and any relevant documents.   4. Claim Your Online Platform and Mobile App Account
    It is imperative you claim your online platform account as soon as possible. The platform serves as the web-based Annual Meeting hub for all meeting participants and houses all the meeting program content and onsite Chicago experience information.

    Don’t wait! Your personalized link to claim your online account access was e-mailed to registrants on April 8 from AERA 2023 (info@vfairs.com). If you registered for the meeting and have not received your link, email aera2023.vfairs.com@getvfairs.io with your full name and e-mail address used when you registered for the Annual Meeting.
     
  5. Download the 2023 AERA Annual Meeting App to gain instant access to the online program, web-streamed sessions from Chicago and the virtual meeting (May 4-5) from your mobile devices. (Search AERA 2023 in the Apple App store or Google Play Store). The app, along with the online platform, will serve as the digital searchable program for the Annual Meeting. Registrants received an email from vFairs with detailed instructions on downloading and using the app. Registrants will be asked to enter their email address and will receive a one-time-password (OTP) at that e-mail address that they will enter on the login screen to gain access to the app.
     
  6. Know How to Navigate Between the Headquarter Hotels
    This year’s place-based component of the Annual Meeting will be held across seven headquarter hotels in Chicago. View this map of hotel locations. AERA will offer complimentary accessibility shuttle service for attendees with disabilities between the Chicago Marriott Downtown Magnificent Mile, Fairmont Chicago Millennium Park, Hyatt Regency Chicago, InterContinental Chicago Magnificent Mile, Radisson Blu Aqua Hotel, Sheraton Grand Chicago Riverwalk, and Swissotel Chicago. AERA signs are posted at all boarding sites identifying the location as an AERA Access Shuttle pick-up and drop-off site.
     
  7. Review Annual Meeting Policies for Ensuring an Inclusive and Welcoming Environment
    AERA is committed to providing a safe, inclusive, welcoming, and productive environment for all AERA Meetings and Events. AERA expects that activities held under its auspices, whether in-person or virtual, promote the full participation or engagement and belonging of all attendees, and are free of harassment, unwelcoming or exclusionary conduct, or discriminatory actions or innuendo. We also expect those speaking at or leading such activities or those participating in them to value and support a diverse, inclusive community.
