Proof of Vaccination Policy

Note: The vaccination policy was updated by AERA Executive Council on March 6 to accommodate individuals with documented medical or religious exemptions. Learn more

To attend AERA’s 2023 Annual Meeting in person, all participants, except those with a medically documented condition or a personal attestation of religious reasons, must have up-to-date vaccination and at least one booster (if eligible). Mask wearing is strongly encouraged, but not required, for vaccinated attendees in common areas. We expect attendees will be unmasked while eating or drinking. Mutual respect and health and safety remain priority goals.

AERA will use SafeAccess as the vendor responsible for confirming the vaccination or exemption status of registrants. Shortly after completion of your registration, you will receive a personalized email invitation from SafeAccess to verify your vaccination status. AERA encourages those attending the Chicago meeting with U.S. and non-U.S. vaccination cards to do so in advance. SafeAccess will also have staff on-site in Chicago to review the vaccination status required to obtain a badge and gain access to the Annual Meeting.

No attendee will be admitted to AERA meeting areas without a vaccination or exemption verification. We appreciate your patience during the health and safety process and thank you for doing your part to keep your event safe for all attendees.

Medical and Religious Exemptions
In the case of medical exemptions, registrants will need to provide SafeAccess with a letter on appropriate medical or health provider letterhead signed by the medical provider stipulating that the registrant due to health conditions cannot be vaccinated or boosted for COVID-19.

In the case of religious exemptions, registrants will need to provide SafeAccess with a signed letter of attestation by the registrant stipulating that for religious reasons they cannot be vaccinated or boosted for COVID-19.

Those seeking medical or religious exemptions must include in their uploaded material a statement of agreement to mask while onsite at the Annual Meeting except for when engaged in eating or drinking.

Additional Information for Place-Based Attendees with Non-U.S. Vaccination Cards
According to the U.S. State Department, all international air travelers to the United States will be required to be FULLY VACCINATED and to provide proof of vaccination status prior to boarding an airplane to fly to the United States, with only limited exceptions. PLEASE NOTE: As an added measure of safety, AERA is requiring that all attendees have received at least ONE booster dose (if eligible) to attend the 2023 AERA Annual Meeting. 

The CDC has determined that for the purposes of entry into the United States, vaccines accepted will include those FDA approved or authorized, as well as vaccines with an emergency use listing (EUL) from the World Health Organization (WHO). Testing
Travelers who are flying from China, Hong Kong, or Macau, or have been in any of these areas in the past 10 days and are flying from one of these airports: Incheon International Airport in Seoul, Republic of Korea, Toronto Pearson International Airport in Canada, or Vancouver International Airport in Canada: Before boarding a flight to the United States, you are required to show a negative COVID-19 test result taken no more than 2 days before travel. There is also an option for people who have documented recovery from COVID-19 in the past 90 days. Children under 2 years old do not need to test. Learn more about these requirements.

If traveling from locations where the U.S. does not require proof of a negative COVID-19 test result before travel:

  • Consider getting tested with a viral test as close to the time of departure as possible (no more than 3 days) before travel.
  • Make sure you know your test results before travel.
    • Don’t travel if your test result is positive.
