ASL and Captioning Services

Overview of ASL and Live Captioning Services Provided

ASL interpretation is provided for all plenaries and select other major sessions (e.g., Opening Plenary, AERA Presidential Address, AERA Distinguished Lecture, Wallace Foundation Distinguished Lecture, Social Justice in Education Award Lecture, AERA Awards Ceremony) taking place at the Annual Meeting, whether delivered place-based in Chicago or on the virtual platform.

Live captioning services are provided for all plenaries and select other major sessions that are being recorded for broadcasting on the virtual platform. AI captioning (i.e., computer-generated captioning) is automatically provided for all other sessions except poster sessions delivered through the virtual platform.

In order to maximize participation in substantive sessions, the exhibit hall, business meetings, on-site receptions, social events, and informal networking opportunities, excluding affiliate group events, AERA also provides ASL and captioning services to presenters and attendees upon request throughout the place-based meeting and the virtual platform, where such services are not already being provided. ASL interpreters will “travel” with attendees as requested throughout each conference day. Live captioning will be set up for requested sessions.


Requests for ASL and Live Captioning Services

To request ASL and/or live captioning services, please email access@aera.net by March 13, 2023 with the accommodation being requested, the mode of attendance (place-based or virtual), and the dates and times you will be attending the Annual Meeting. To provide Interpreters and Captioners an opportunity to prepare for the content of each session and to ensure that ASL and live captioning can be made available for the entire session in advance, please provide as complete a schedule as possible to access@aera.net approximately one week prior to the conference. Interpreters and Captioners can and will remain flexible to all schedule changes prior to and during the conference. Please note that presenters presenting in ASL may be asked to collaborate with their interpreters for additional preparation opportunities.


Additional On-Site and Virtual Requests for Services

AERA can accept additional on-site and virtual requests for ASL services and live captioning services on a limited basis and will honor such requests to the extent possible dependent on the availability of stand-by ASL interpreters and captioners.

For last minute ASL and live captioning requests, please visit the AERA Accessibility Services Desk in the Registration area or the AERA/Sorenson Interpreting and Captioning Center at the Hyatt Regency Chicago.
