Know Before You Go

We are excited to welcome you to Philadelphia for the 2024 AERA Annual Meeting. As you prepare to arrive, we are here to help you plan ahead and to ensure the meeting is a professionally rewarding experience.

Please note the following critical items:

  1. Review the Annual Meeting Conduct Guidelines to Promote an Inclusive and Welcoming Environment
    AERA is committed to providing a safe, inclusive, welcoming, and productive environment for all AERA Meetings and Events. AERA expects that activities held under its auspices promote the full engagement and belonging of all attendees, and are free of harassment, unwelcoming or exclusionary conduct, or discriminatory actions or innuendo. We also expect those speaking at or leading such activities or those participating in them to value and support a diverse, inclusive community. Review meeting “do’s” and “don’ts” and learn how to report unwelcoming behavior on the AERA website and in the AERA 2024 app. 
     
  2. Be Aware of Likely Demonstrations—Embrace Free Speech that is Not Disruptive
    As a scholarly society, AERA encourages open discussion and scholarly inquiry to advance knowledge about education and learning and thereby serve the public good. We are aware that a rally is planned outside of the official meeting sites for Saturday afternoon to address to the humanitarian crisis in the Middle East. We respect and support the right to peacefully assemble and to engage in freedom of speech and open inquiry. Our goal during our time together at the Annual Meeting is to provide a safe forum for attendees to share innovative research, engage in substantive exchange, and foster professional relationships. We respectfully ask all participants to use their voices in a manner that supports rather than disrupts these research aims and purposes.
     
  3. Wear Your Badge at the Annual Meeting
    You must wear your badge to access Annual Meeting sessions, events, and the exhibit hall. No exceptions will be granted. Please note that a replacement fee of $5 will be charged for lost badges. Badge reprint is available at the Registration Desk at the Pennsylvania Convention Center in the Grand Hall
  4. Get Your Digital Health Pass from SafeAccess
    Register your vaccination status with SafeAccess before traveling to Philadelphia to receive your Digital Health Pass. As part of the entry requirements for the 2024 AERA Annual Meeting, all participants, except those with a medical exemption or religious attestation, must have up-to-date vaccination and at least one booster (if eligible). The AERA vaccination webpage has full details. If you have not completed the verification process managed by SafeAccess prior to arriving in Philadelphia, please be sure to bring your vaccination card (print or digital) and any relevant documents.   5. Download the 2024 AERA Annual Meeting App to gain instant access to the online program, the QR code to print your badge onsite (the code will become available on April 9). Search AERA 2024 in the Apple App store or Google Play Store. The app will serve as the digital searchable program for the Annual Meeting. There is also a web version of the app.
     
  6. Know How to Navigate Between the Convention Center and Headquarter Hotels
    This year, the Annual Meeting will be held at the Pennsylvania Convention Center and four headquarter hotels in Philadelphia. View this map of hotel locations. AERA will offer complimentary accessibility shuttle service for attendees with disabilities between the Philadelphia Marriott Downtown, Le Meridien Philadelphia, Sheraton Philadelphia Downtown, and The Notary Hotel. AERA signs are posted at all boarding sites identifying the location as an AERA Access Shuttle pick-up and drop-off site.
     
  7. Take Care and Be Healthy and Safe – Emergency Phone Numbers
    AERA’s top priority is the health, safety, and wellbeing of all attendees at the Annual Meeting, as well as those who serve and support attendees at the Conference. AERA was advised that, much faster than using 911, the phone numbers below are the quickest way of getting help if you or others need it.
