COVID-19 Vaccination Policy

To attend AERA’s 2024 Annual Meeting, all participants, except those with a medically documented condition or a personal attestation of religious reasons, must have up-to-date COVID-19 vaccination and at least one booster (if eligible). Mask wearing is not required. Mutual respect and health and safety remain priority goals.

AERA will use SafeAccess as the vendor responsible for confirming the vaccination or exemption status of registrants. Shortly after completion of your registration, you will receive a personalized email invitation from SafeAccess to verify your vaccination status. AERA encourages those attending the meeting with U.S. and non-U.S. vaccination cards to do so in advance. SafeAccess will also have staff on-site in Philadelphia to review the vaccination status required to obtain a badge and gain access to the Annual Meeting. Individuals who have completed SafeAccess for other AERA events since October 2023 will be cleared without needing to further upload documentation.

No attendee will be admitted to AERA meeting areas without a vaccination or exemption verification. We appreciate your patience during the health and safety process and thank you for doing your part to keep your event safe for all attendees.


Medical and Religious Exemptions

In the case of medical exemptions, registrants will need to provide SafeAccess with a letter on appropriate medical or health provider letterhead signed by the medical provider stipulating that the registrant due to health conditions cannot be vaccinated or boosted for COVID-19.

In the case of religious exemptions, registrants will need to provide SafeAccess with a signed letter of attestation by the registrant stipulating that for religious reasons they cannot be vaccinated or boosted for COVID-19.

Those seeking medical or religious exemptions must include in their uploaded material a statement of agreement to mask while onsite at the Annual Meeting except for when engaged in eating or drinking.


Additional Information for Attendees with Non-U.S. Vaccination Cards

As of May 12, 2023, noncitizen nonimmigrant visitors to the U.S. arriving by air or arriving by land or sea no longer need to show proof of being fully vaccinated against COVID-19. PLEASE NOTE: As an added measure of safety, AERA is requiring that all attendees be fully vaccinated and have received at least ONE booster dose (if eligible) to attend the 2024 AERA Annual Meeting. 

Testing
The CDC recommends that you consider getting a COVID-19 test if you:

  • Develop COVID-19 symptoms before, during, or after travel.
  • Will be traveling to visit someone who is at higher risk of getting very sick from COVID-19.
  • Were in a situation with a greater risk of exposure during travel (e.g., in an indoor, crowded space like an airport terminal while not wearing a mask).

If you traveled and feel sick, particularly if you have a fever, talk to a healthcare professional, and tell them about your recent travel.
