General Program, Registration, and Key Dates

  • Meeting registration for the 2022 Annual Meeting will open on January 11, 2022. (The change from December 20, 2021, will give AERA sufficient time to implement and test a system to integrate COVID vaccine status, AERA website member/user ID info, & virtual platform information to allow for a seamless single sign-on for Annual Meeting attendees.) Click here for registration information and rates. 
  • Housing registration for place-based attendees will open on January 11, 2022.
    • The place-based meeting is being held at the San Diego Convention Center. The headquarter hotels are the Marriott Marquis San Diego and Manchester Grand Hyatt. Information on hotel accommodations will be announced when registration opens. There are many hotel options near the convention center in addition to the headquarter hotels.
  • The program schedule will be available on January 18, 2022. (Due to the observance of Martin Luther King, Jr., Day on January 17, the release of the program was moved to January 18.) The final deadline for program changes is March 7, 2022.
  • The final deadline for an accepted session or a poster presentation to move from the place-based meeting to the virtual platform is March 8, 2022.
  • The final deadline for program changes applies to paper titles, session titles, and authors, as well as session chairs and discussants.

Health and Safety

  • COVID vaccinations and masking will be required of all registrants, attendees, participants, and staffs throughout the place-based component of the 2022 AERA Annual Meeting and all event spaces.
  • The masking requirement will remain in place unless guidance from public health authorities leading up to the Annual Meeting commends that Council revisit this policy. 
  • The AERA Executive Board approved the vaccination and masking policy on November 5, 2021.

Transition to a Hybrid Model

  • The AERA 2022 Annual Meeting will now be a hybrid conference with a place-based component in San Diego and a virtual component.
  • The rapid emergence of the Delta variant led AERA in early August to begin the process of assessing whether a hybrid model was essential to best serve our Annual Meeting participants and other attendees.  
  • The AERA Council weighed many options and made the decision to offer a hybrid meeting on October 28, 2021.
  • All those who submitted and were accepted through the open call are were asked to decide by December 10, 2021, whether they want their sessions to be scheduled in the place-based or virtual component, as best as they could determine at the time. 
  • Presenters in accepted sessions, paper sessions, or roundtable sessions were to decide as a group whether to participate in the place-based component of the meeting in San Diego or on a new virtual platform.
  • The presenting author(s) of individual papers accepted for poster sessions were to decide whether to present the paper in a place-based poster session in San Diego or at a poster session on the virtual platform.

Planning and Scheduling Flexibility

  • If health and safety conditions deteriorate in the months ahead, sessions that elect to be place-based will still have an additional opportunity to move to virtual later, if necessary.
  • Presenters in the invited program, including Presidential sessions, AERA-wide sessions, invited lectures, and so forth, will all present in San Diego. Invited sessions too may need to migrate to the virtual platform if COVID-19 conditions further erode.

Attendee Experience

  • As the first placed-based AERA conference since 2019, the 2022 Annual Meeting will offer special programming and significant opportunities for informal networking, author-to-author exchange, and a chance to meet up in person with colleagues and mentors.
  • The virtual component of the 2022 Annual Meeting will also include designed experiences to further informal networking and foster discussion of issues significant to education researchers.
  • All attendees in San Diego will have full access to the virtual component of the meeting irrespective of whether they are virtual presenters. Attendees on the virtual platform will have access to all virtual-based sessions as well as a selection of high-profile sessions being held in San Diego.
  • The 2022 program schedule will be designed with the attendee/user experience as a high priority, with sufficient time for breaks and a plan that minimizes conflict between the place-based and virtual components.
  • Wi-Fi with high-speed bandwidth will be fully accessible throughout the convention center and all meeting and common spaces at the headquarter hotels. AERA is adding wireless bandwidth in all session and convening rooms. 
  • AERA will be selecting an online platform that offers a Zoom or Zoom-like option by the end of December. A basic requirement of all potential vendors is to offer sufficient bandwidth in a secure and stable environment and to also demonstrate successful use and integration of their platforms with AERA platforms and data. AERA has engaged a technology consultant to help drive this process.

Registration Requirements for Presenting Authors

  • Each paper must have one or more presenting authors and all presenting authors must register for the Annual Meeting no later than February 15, 2022
  • Individuals who are not listed as presenting authors cannot present at the Annual Meeting. 
  • If a presenting author does not register for the meeting by February 15, 2022, their name will be removed as a presenting author. 
  • If no presenting author has registered by February 15, 2022, the paper will be removed from the program.
